Cloud ERP & WMS Glossary

Key terms in warehouse management, ERP, customs brokerage, e-invoicing, and asset management - explained for business and technology teams operating in the Americas.

WMS (Warehouse Management System)

A software application that controls and optimizes warehouse operations including receiving, putaway, picking, packing, and shipping. A cloud WMS like P4 Warehouse provides real-time inventory visibility across multiple locations, supports RF barcode scanning and mobile picking, and integrates with ERP systems for end-to-end supply chain management.

ERP (Enterprise Resource Planning)

An integrated software system that manages core business processes - including accounting, finance, inventory, procurement, sales, and production - in a single platform. Cloud ERP systems like CifraHQ enable real-time data sharing across departments, IFRS-compliant financial reporting, and multi-company management for enterprises operating across the Americas.

3PL (Third-Party Logistics)

A business model where a company outsources its warehousing, distribution, and logistics operations to a specialized third-party provider. 3PL operators manage inventory on behalf of multiple clients, often in shared warehouse facilities. P4 Warehouse provides multi-tenant WMS capabilities purpose-built for 3PL operators, including client-level billing, SLA tracking, and value-added services.

Cold Chain

A temperature-controlled supply chain used to preserve and distribute products that require refrigeration or freezing, such as pharmaceuticals, vaccines, fresh food, and chemicals. Cold chain WMS solutions track product location, temperature zones, expiry dates, and lot numbers to ensure compliance with FDA, INVIMA, ANVISA, and other regulatory requirements across the Americas.

E-Invoicing (Electronic Invoicing)

The digital issuance, transmission, and storage of invoices and fiscal documents through government-authorized systems. Most Latin American countries mandate e-invoicing for businesses above certain thresholds. Each country has its own authority and format: DGI (Panama), SAT/CFDI (Mexico), DIAN (Colombia), SUNAT (Peru), SRI (Ecuador), SEFAZ/NFe (Brazil), SII (Chile), ARCA/AFIP (Argentina). FacturaHQ provides full compliance for Panama's DGI mandate.

Customs Brokerage

The professional service of preparing, filing, and managing import and export documentation on behalf of importers and exporters. Customs brokers ensure compliance with tariff classification, duties, taxes, and government agency requirements. P4 Customs automates document processing, integrates with government customs systems (SICE, TICA, ANA), and provides real-time clearance tracking to reduce processing times by up to 15%.

IFRS (International Financial Reporting Standards)

A globally recognized set of accounting standards developed by the International Accounting Standards Board (IASB). IFRS governs how financial transactions are recorded and reported, enabling consistent financial statements across different countries. Most Latin American countries have adopted IFRS or local equivalents. CifraHQ and ActivoHQ are built on IFRS-compliant accounting engines for depreciation, revenue recognition, and financial consolidation.

Landed Cost

The total cost of a product after all expenses are added, including purchase price, transportation, freight, insurance, duties, tariffs, and customs clearance fees. Accurate landed cost calculation is critical for profitability analysis in import-heavy businesses. CifraHQ Enterprise includes multi-tier landed cost management that automatically allocates import costs to inventory items, providing true product cost visibility.

Fixed Asset Management

The process of tracking, managing, and accounting for an organization's physical long-term assets - including machinery, vehicles, IT equipment, buildings, and infrastructure - throughout their entire lifecycle from acquisition to disposal. Cloud fixed asset management systems like ActivoHQ automate depreciation calculations, enforce IFRS compliance, support barcode and QR code asset tagging, and integrate with ERP for real-time financial reporting.

Lot Tracking (Batch Tracking)

The ability to trace a product batch or lot number through every stage of the supply chain - from receipt and storage to picking and shipping. Lot tracking is mandatory for regulated industries such as pharmaceuticals, food and beverage, and chemicals. P4 Warehouse provides full lot traceability with expiry date management, FIFO/FEFO enforcement, and complete recall capability.

Depreciation

The systematic reduction in the recorded cost of a fixed asset over its useful life. Common depreciation methods include straight-line, declining balance, units of production, and sum-of-years-digits. Under IFRS, companies must apply the method that most closely reflects the pattern of consumption of the asset's economic benefits. ActivoHQ automates depreciation calculations using multiple methods across multiple entities and currencies.

API-First Architecture

A software design approach where the application programming interface (API) is designed and built before the user interface and business logic. API-first systems expose all functionality via RESTful endpoints, enabling seamless integration with third-party systems such as ERP platforms, e-commerce solutions, government portals, and IoT devices. The entire P4 Software Cloud Suite is built on an API-first architecture, enabling real-time data synchronization across all six products.

SOC 2 Type II

A security auditing standard developed by the American Institute of Certified Public Accountants (AICPA) that evaluates a service organization's controls related to security, availability, processing integrity, confidentiality, and privacy. SOC 2 Type II attestation covers a period of time (typically 6-12 months), demonstrating sustained compliance rather than a point-in-time snapshot. P4 Software is SOC 2 Type II certified, providing enterprise customers with assurance of data security and operational controls.

RF Barcode Scanning

Radio-frequency barcode scanning uses mobile devices and wireless networks to scan product barcodes and QR codes during warehouse operations such as receiving, putaway, picking, and inventory counts. RF scanning eliminates manual data entry errors, speeds up warehouse operations, and provides real-time inventory accuracy. P4 Warehouse supports RF barcode scanning with both 1D and 2D barcodes (including QR codes) on Android and Windows mobile devices.

Multi-Company / Multi-Entity Management

The ability to manage multiple legal entities, subsidiaries, or business units within a single ERP system, with consolidated financial reporting across all entities. This is essential for holding companies, conglomerates, and businesses operating in multiple Latin American countries. CifraHQ Enterprise provides multi-entity financial consolidation with inter-company eliminations, currency conversion, and consolidated IFRS reporting across all legal entities in a group.
